Job Description

We are currently seeking a Front Desk Document Assistant to serve as additional support to our Tampa Office by providing administrative, Central Document Services Department (CDSD), facilities, and reception support.


  • Answers incoming calls for the office, serving as overflow for other offices as needed
  • Collects appropriate information for proper routing of calls
  • Retrieves and distribute voicemails for the Office
  • Retrieves and processes incoming mail according to departmental protocol
  • Profiles and names the pleadings per departmental protocol
  • Forwards information to the internal parties associated with the case and the client if applicable
  • Bills and or Dockets all incoming mail
  • Run and analyze reports for attorneys as requested
  • E-files and E-serves documents to the courts and or the appropriate parties per their specifications
  • Processes Claim CD’s per Intake procedure
  • Serve as liaison for the company’s administrative projects
  • Ensures conference rooms are set up properly and cleaned
  • Provides water and coffee and other beverages to guests and attorneys using the conference room
  • Ensures the kitchen is cleaned and maintained each day
  • Liaises with IT Department for any IT need of the office, including printer and copier maintenance, arranging new workstation set ups, and internet failures
  • Maintains FOB’s and keys for employees and visitors

 Desired Skills:

  • Must have law firm experience
  • Experience with eserved/efiled/ecourtesy and ProLaw is a plus
  • Ability to work independently, analyze and make solid, fact-based decisions
  • Ability to multi-task and effectively prioritize
  • Attention to detail and the ability to adapt to changing circumstances in the workplace
  • Strong verbal, written and critical thinking skills
  • Strong customer service, interpersonal and communication skills with the ability to interact effectively with others
  • Ability to maintain effective working relationships at all levels within the firm
