Billing and Receivables Clerk

We are seeking a detail-oriented and organized Billing and Receivables Clerk to join our law firm. This position plays a key role in supporting the firm's billing and accounts receivable functions by maintaining accurate client billing records, assisting with collections efforts, and ensuring timely invoice processing.
The ideal candidate is highly organized, possesses strong communication skills, and has advanced Microsoft Excel experience. Prior law firm accounting or billing experience is a plus.
Key Responsibilities:
Daily Responsibilities
- Monitor and manage incoming emails, responding to and processing requests in a timely manner.
- Create and maintain matter lists to research client billing data and synchronize information with the firm's billing system.
- Review and maintain accurate client billing records.
- Ensure billing information is complete, accurate, and up to date.
Weekly Responsibilities
- Monitor files and close matters when appropriate.
- Assist with accounts receivable collection efforts.
- Review and monitor client billing portals to identify and resolve missing or incomplete billing data.
- Communicate directly with clients regarding billing information, documentation, and account inquiries.
Monthly Responsibilities
- Compile and organize billing information for monthly billing transmissions.
- Generate and transmit client invoices.
- Assist with monthly collections activities and follow-up efforts on outstanding balances.
Additional Duties
- Perform other accounting, billing, and administrative duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Prior law firm accounting or legal billing experience.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Professional client service and interpersonal skills.
- Advanced proficiency in Microsoft Excel, including VLOOKUP/XLOOKUP, Trim, Concatenate, Pivot Tables
